This Applicant Privacy Notice (the “Notice”) supplements the broader RMO Privacy Notice and applies specifically to information collected from candidates and applicants. It does not apply once you become a team member; that's covered by the Team Member Privacy Notice you'll receive at onboarding.
Who is responsible for your information
The data controller for applicant information is RMO Experts Inc., the talent and people-services subsidiary of RMO Corporation. Information may be accessed by the specific RMO subsidiary you've applied to, in connection with that application.
What we collect
When you apply through our portal at digital.rmous.org/mycareer, we collect:
- Identification and contact information — name, email, phone, mailing address.
- Resume and work history — education, prior employment, certifications, skills, references, and any other information you choose to include.
- Application responses — answers to role-specific questions and any cover letter or portfolio materials you submit.
- Work authorization — whether you are authorized to work in the country where the role is located, and whether you require sponsorship.
- Voluntary self-identification — if you choose to provide it, demographic information (race, ethnicity, gender, veteran status, disability status). This is voluntary, separated from your application file, and used only for aggregate diversity reporting and compliance.
- Background information — if a conditional offer is extended, with your separate written authorization, we may collect information through a background-check vendor consistent with the role's requirements.
- Technical data — when you use our careers website or portal, we collect standard server logs (IP address, browser type, pages viewed, timestamps). See our Data Collection Notice.
How we use it
- To evaluate your qualifications for the role you applied to and other roles for which you may be a fit.
- To communicate with you about your application and schedule interviews and assessments.
- To verify the information you provide, including through reference and (post-conditional-offer) background checks.
- To comply with legal obligations — including equal opportunity reporting, immigration, and tax requirements.
- To protect the security of our systems and detect fraudulent applications.
- If you accept an offer, to onboard you and create your team member record.
We do not sell applicant information, and we do not use it for advertising.
Who we share it with
- Within RMO — recruiters, hiring managers, and interview-team members involved in evaluating your application across the relevant RMO subsidiary or division.
- Service providers — vendors that operate our application portal, hosting infrastructure, video-conferencing, assessments, and (with your consent) background-check services. They are contractually limited to processing data on our behalf.
- Legal and regulatory — where required by law, court order, or to respond to legitimate government requests.
- Business transactions — in connection with a merger, acquisition, restructuring, or similar corporate transaction, subject to appropriate protections.
How long we keep it
We retain applicant records for the period required by applicable law and as needed to support our business. Typical retention:
- Non-hire applications — 24 months from the date of application or last contact, whichever is later. We may retain longer where required by law or pending litigation hold.
- If you are hired — your applicant file becomes part of your team member record, governed by the Team Member Privacy Notice and applicable retention schedules.
- Voluntary self-identification data — retained in aggregated form for as long as required for compliance and diversity reporting.
Your rights
Depending on where you live, you may have rights regarding your personal information — including the right to access, correct, delete, or receive a copy of it, and to object to or restrict certain processing. Some of these rights are subject to legal exceptions (for example, retention obligations).

Security
We use administrative, technical, and physical safeguards designed to protect applicant information against unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure, but we work continuously to maintain and improve our protections.
International applicants
RMO is based in the United States. If you apply from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those of your country of residence. By applying, you understand and consent to this transfer where permitted by law.
Changes to this notice
We may update this Notice from time to time. The “Effective” date at the top of the page reflects the latest version. Material changes will be communicated through the application portal or by email when we have a current address.
